Scope Definition

We work with your team to define the complete trade scope matrix for the project — identifying every subcontract package, the work included in each, and any interface or coordination requirements between trades that need to be addressed in the ITB documents.

ITB Distribution

Detailed Invitations to Bid are prepared for each trade and distributed to qualified subcontractors from our database and your preferred sub list. Distribution is tracked and confirmed so no sub is missed, and plan access is arranged for all invited bidders.

Bid Collection

We manage all incoming bids, track receipt against the invited list, follow up with non-respondents, and conduct scope gap analysis throughout the bid period to ensure complete coverage across all trade packages before your deadline.

Leveling & Award

All received bids are leveled trade by trade, with scope inclusions and exclusions documented and adjusted for comparability. A complete bid tab and written award recommendation report is delivered to your team, ready to support your award decision and owner presentation.

Bid management is the process of soliciting, collecting, and evaluating subcontractor proposals for a construction project. It includes preparing invitations to bid, distributing documents, tracking bid receipt, following up with subcontractors, leveling the received bids for fair comparison, and producing an award recommendation. Virtual bid management means we handle this process remotely on your behalf, functioning as an extension of your preconstruction team.
Bid leveling involves reviewing each subcontractor's proposal against the defined scope of work, documenting what is included and excluded in their number, and adjusting the comparison to reflect an apples-to-apples total. We add the cost of missing scope items and note over-included items so you can see the true cost comparison between bidders — independent of how each sub chose to interpret the scope.
Yes. We maintain a database of subcontractors organized by trade and region that we use to supplement your preferred sub list. We can also add subs you specify or source new subcontractors in markets where you need additional bidders. Our goal is always to generate enough competition in each trade to produce a reliable market price.
We target a minimum of three qualified bids per trade package to ensure meaningful competition. For large or complex scopes — or in markets with limited sub coverage — we cast a wider net and communicate proactively if a trade is tracking toward fewer bids so you can decide whether to expand the invitation list or adjust the bid period.
